Procedures for Certified Approvers Who Change
Positions Within the University
or Leave the University of Minnesota

Individuals are appointed by specific units to serve as Certified Approvers (CA). When those individuals leave their current positions, their status as an appointed CA does not automatically follow them. Following are the procedures for CAs who leave their current positions.


If you have been hired for another University of Minnesota position, and know you will be appointed as a CA:
  • Contact the OAR office to inform them that you are leaving your current position and will be appointed as a CA in your new position. Provide OAR with the last day of your current CA appointment.
  • Your name will be removed from the automatic routing process in the financial system by the OAR office, and you will be added to the "inactive/eligible CA" list.
  • You may keep your stamp, but you may not use it to approve documents in your new unit until you are appointed as a CA in that unit.
  • Continue to meet the CA continuing education requirements to maintain your eligibility status.
  • Remind your new supervisor that the unit must appoint you as a CA (contact the OAR office for an appointment letter template).
  • Once appointed as a CA in your new unit, you will be notified by the OAR office. Your name will be reactivated in the financial system and you may resume using your CA stamp.
If you have been hired for another University of Minnesota position, but will not be appointed as a CA:
  • Contact the OAR office to inform them that you are leaving your current position and that you will not be appointed as a CA in your new position. Provide OAR with the last day of your current CA appointment.
  • Send or deliver your CA stamp to the OAR office.
  • Your name will be removed from the automatic routing process in the financial system by the OAR office and you will be added to the "inactive/eligible CA" list.
  • Your name will remain on the CA listserv as long as you maintain your eligibility status by fulfilling the CA continuing education requirement.
  • Continue to meet the CA continuing education requirements to maintain your eligibility status. Monitor the CA website for upcoming events; the OAR office will also send event announcements via the CA listserv. If you do not meet the CA continuing education requirements each fiscal year, you will lose your eligibility to be appointed as a CA without re-taking the CA exams.
If you are leaving the University of Minnesota:
  • Contact the OAR office to inform them that you are leaving your current position. Provide OAR with the last day of your current CA appointment.
  • Send or deliver your CA stamp to the OAR office.
  • Your name will be removed from the automatic routing process in the financial system by the OAR office and you will be added to the "inactive/eligible CA" list.
  • Your name will be removed from the CA listserv.
  • If you return to the University of Minnesota at some future date, your eligibility to be appointed as a CA will depend on the length of time you have been gone. Contact the OAR office to discuss your situation.
